AI Features & Automation
Every AI feature is powered by Google's Gemini model via Vertex AI. All outputs arrive as Gmail drafts or emails to your own inbox — nothing is sent to your contacts automatically.
How the Automation System Works
Water LLM does its work overnight, on its own, whether or not the spreadsheet is open. During setup you answer one question — what time the overnight work should be finished — and everything is laid out backwards from there.
You can change any of it afterwards in : each job has its own switch, cadence, day and hour.
It is stored against your Google account. Two consequences worth knowing: the only way to see your schedule is to open the Automation Scheduling screen, and a copy of your spreadsheet does not carry your schedule with it. What ran, and when, is recorded in the sheet — on the โ๏ธStatus tab.
These are the settings a new install starts with, laid out for a 7:00 AM finish. Pick a different finishing time and the whole chain moves with it, keeping the same order.
| Time | Job | Cadence | What it does |
|---|---|---|---|
| 1:00 AM | Chat Audit Cleanup | Weekly (Sun) | Trims the Chat Assistant’s audit log so it doesn’t grow forever. |
| 2:00 AM | Sync to Google | Daily | Pushes your CRM edits out to Google Contacts. Outbound runs first, deliberately — so a day’s work goes up before anything comes back down. |
| 3:00 AM | Sync to CRM | Daily | Pulls Google Contacts back into the CRM. |
| 4:00 AM | Comms & Meeting Sync | Daily | Scans Gmail and Calendar per contact and writes the Last Email, Last Meeting and Last Contact columns. Almost everything else reads what this produces. |
| 5:00 AM | Client Tracker | Daily | Recalculates meeting time, hours left, 30-day activity and the flags on every active client. |
| 5:00 AM | Calendar Invite Parser | Daily | Reads calendar invites and pulls new contact details into the CRM. |
| 5:00 AM | Weekly Client Recap | Weekly (Sat) | Summarises the week’s email with each active or onboarding client into their Google Doc Notes. |
| 6:00 AM | Dashboard Feeds | Daily | Stamps the dashboard’s as-of date and fetches the Gmail and Calendar figures. Always on. |
| 7:00 AM | Daily Assistant | Daily | Your morning briefing — next steps, task cards, and a card for each meeting with everyone attending and what the CRM knows about them. |
| 7:00 AM | Task Manager | Daily | Finds what needs doing — renewals, ghosting and re-engage clients, overdue invoices, stale deals — and puts the list in your Daily Briefing (its own email if the briefing is off). |
| 7:00 AM | Invoice Reminder | Daily | Drafts reminders for unpaid invoices past their due date. |
| 7:00 AM | Weekly Business Briefing | Weekly (Fri) | The past 7 days recapped, then the next 14 days of calendar read for load and gaps. |
| 7:00 AM | Monthly Business Analysis | Monthly (1st) | A business-health snapshot across calendar, email and invoices. |
| 7:00 AM | Water LLM Health Report | Daily | What ran in the background, what changed, and did anything fail or get skipped. Always sorts last, because it reports on everything else. Every day by default, or only when something needs attention. |
| every hour | Meeting Follow-Ups | Hourly | Checks for meetings that just ended and match your keywords, then drafts the follow-up. |
| every hour | Booking Watch | Hourly | Sends the 24-hour reminder for upcoming bookings, and notices when someone declines a booking invite instead of cancelling. Does nothing until you have a booking page. |
Nine jobs start off because each needs something from you first. Turning them on before that would mean empty runs or drafts you didn’t ask for. The reason is written on each one’s โ๏ธStatus row, and they are deliberately kept out of the daily health email so they don’t read as failures.
| Job | Needs first |
|---|---|
| Email Outreach 1, 2 and 3 | A date range and a template in Configure Hub. |
| Email Workflow Engine | At least one workflow built in the Workflow Builder. |
| Subscription Roll Up | A Gmail label to read newsletters from. |
| Client Hours Update | A look at the template in Configure Hub — it drafts emails to your clients. |
| Client Wrap-up | Your wrap-up email, written in Configure Hub — it drafts emails to clients you have finished with. |
| Birthday Notes | Nothing — it is off purely because it creates Gmail drafts. Turn it on when you want them. |
| FX Reconciliation | Only relevant once you invoice in a currency other than your own. |
Booking Watch is switched on but self-gates the same way: it only sends reminders for session types where you have turned them on, so until then it simply watches for declined invites. See Booking Page.
A few things run once a day whatever your schedule says: checking your subscription, applying Water LLM updates, refreshing the dashboard feeds, and keeping the โ๏ธStatus tab in order. They are cheap, everything else depends on them, and unlike the scheduled jobs they catch up if a cycle is missed.
Your briefings, the Health Report, digests and notices all share one design. Each starts with a one-line verdict, and the subject leads with what the email is, then the verdict or date — “Health Report · All clear”, “Daily Briefing · Mon, Oct 5”. The footer says where to change or turn that email off. Emails Water LLM drafts to your clients are different: they carry no Water LLM branding and look like you wrote them.
Whatever the switches say, every assistant is available under for an immediate one-off result. Running one by hand doesn’t change its schedule.
Only what a given feature needs — calendar titles and attendees, CRM fields, the figures already on your dashboard, and, for the features that summarise correspondence, excerpts of the emails themselves. Every request runs under Google Cloud's enterprise terms for Vertex AI, which mean nothing you send is ever used to train or improve a model. The full breakdown, feature by feature, is in Data & Privacy.
Daily Briefing
One morning email for the day ahead. The subject reads “Daily Briefing · Mon, Oct 5”, and it opens with a one-line summary, then cards for your deal next steps, tasks, and each meeting.
What's in the briefing, in order:
- Next steps — any deal whose next step is due or overdue, any step Water LLM saw you finish overnight, and open deals with no next step — each with a one-tap button to set or change it. The buttons work on your phone. Next steps are for Biz Dev deals; clients are covered by their flags and the task cards.
- Tasks — one card per kind of task (Renewal Due, Ghosting Clients, Re-Engage Clients, Overdue Invoices…), each saying what puts someone there, with Add a note and Open in CRM buttons per person. See Task Manager.
- A card per meeting — time, title and a Join button for Zoom, Google Meet, Teams or Webex, whether the link was pasted into the invite, added by a scheduler like Calendly, or attached by the Zoom or Meet calendar integration.
- Everyone in the meeting gets their own block: what they are to you (client hours used, deal stage, sponsor), their goal, a dated “Last time” summary of your last meeting’s notes and the emails since, and Join · Add a note · Open notes · Open in CRM.
Meetings with several people. Every attendee is processed — a three- or four-person meeting shows a block for each. Only meetings at or above the large-meeting limit (6 attendees besides you, by default) skip the per-person detail and say so on the card. Change the limit, or turn it off, in .
A day with nothing on says so, rather than sending you an empty email. The footer says where to change or turn it off.
Schedule: Daily, at your finishing hour. Change it in .
Run manually:
The Last time summary is built from the notes you keep for each person and the email since. A line or two after each meeting — what you covered, what’s next — is what makes tomorrow’s card useful. Add a note on the card is the quickest way to write it.
Email Outreach — Three Independent Pipelines
Water LLM has three independent outreach pipelines. Each one filters your CRM by how long since you last contacted someone, then drafts a personalized email for each matching contact using a template you write. Everything lands as a Gmail draft — nothing is ever sent automatically.
| Pipeline | Suggested Range | Tone |
|---|---|---|
| Outreach 1 | 28–60 days since last contact | Warm check-in — you haven't talked in a month or so |
| Outreach 2 | 60–120 days | Re-engage — it's been a while, more personal |
| Outreach 3 | 120–180 days (or LinkedIn-only) | Reactivation or LinkedIn follow-up — long time no talk |
- Filters the CRM by your configured "days since last contact" range
- Optionally filters by user-defined fields, "never contacted" flag, or LinkedIn-only contacts
- Skips contacts who have a future meeting scheduled (unless you turn this off)
- Copies matching contacts into an Email Cache sheet
- Creates a Gmail draft for each contact using your template with placeholders filled in
- Optionally uses AI to write a personalized opening paragraph per contact
The pipeline filters contacts by Last Contact From Them, with Last Contacted By Me as the second signal. If Communication Refresh has not run yet — or has not finished all its passes — both can be blank or stale for many contacts, so someone you emailed last week can land in a “60+ days” segment.
Run and confirm it has completed (check โ๏ธStatus) before running your first outreach batch.
| Placeholder | Filled With |
|---|---|
{{First Name}} / {{Last Name}} | Contact's name |
{{Company}} / {{Title}} | Company and title |
{{Email 1}} / {{Email 2}} | Email addresses |
{{Nickname}} | Nickname (if set) |
{{City}} / {{Region}} | Location fields |
{{Last Contact}} | The Last Contact From Them date |
{{Last Contact Method}} | How you last connected (e.g., "Meeting") |
{{Notes}} | CRM Notes field |
Every email Water LLM drafts for you — outreach, invoices, reminders,
workflows, client hours updates, wrap-ups — uses the same style:
{{First Name}}. Capitals and spaces don’t matter, so
{{FIRST NAME}} and {{firstname}} work too, and older
templates keep working.
- A line whose value is blank drops out, so a contact with no first name never gets “Hi ,”.
- A misspelt placeholder stays visible in the draft, exactly as you typed it, and the dialog points it out — so a typo can’t quietly turn into a blank.
- Every template has a Preview, so you can see a real draft before anything is created.
Drafts to clients carry no Water LLM branding — they look like you typed them.

Meeting Prep
Generate a comprehensive AI briefing before an important meeting — delivered to your inbox so you can read it on the way there.
-
1Go to
-
2Select an upcoming meeting from the next 7 days
-
3Choose the attendee(s) to research
-
4Choose a prep type:
- First Call / Discovery — company research, SWOT analysis, ICP positioning, conversation flow
- Follow-Up / Proposal — recap past touchpoints, objection handling, next steps
- Check-In / Relationship — account health, expansion signals, conversation starters
-
5Click Generate — the briefing is emailed to you
Go to and fill in your Ideal Client Profile (ICP) and products/services description. The AI uses these to assess prospect fit and tailor discovery questions to your specific practice.
Weekly Business Briefing
A Friday email in two halves: the past seven days recapped — meetings held, who you spoke to, what moved — and then the next fourteen days of calendar read for load, patterns and gaps.
What it analyzes:
- Groups meetings by type using keywords you define (e.g., "Coaching", "Sales", "Admin")
- Flags meetings where guests haven't RSVPed
- Identifies back-to-back blocks, overloaded days, light weeks
- Offers specific scheduling suggestions to optimize your time
Schedule: Weekly, Fridays by default. Change it in .
To set keywords:
—
enter comma-separated keywords (e.g., Coaching,Strategy,Sales Call,1-1).
Meetings are categorized by the first keyword that matches their title.
Include both spelled-out and abbreviated forms (e.g., "discovery call, disco"). The match is keyword-based against the event title — think about the exact words you type when creating a calendar event.
Monthly Business Insights
A monthly email reading your business back to you — calendar activity, email volume, money, and a written analysis of what is going well and what to watch.
What it covers:
- Meeting types and counts for the past and next 30 days
- Email volume, sent and received — counts only, no message content
- Revenue, profit, outstanding and payment trends
- Collection health — how quickly you are actually being paid, and what is ageing
- Product mix and discounting — what sells, and what you are giving away
- Clients at risk, named rather than counted
The headline figures come straight from the live formulas behind the Dashboard rather than being worked out again from raw rows. So the email and the tab cannot disagree with each other — and if a figure in the email looks wrong, the definition of it is written down.
It always arrives. If the written analysis can’t be generated one month, the email still comes with your figures and a line saying the analysis is missing. Run from the menu, it tells you on screen whether it was sent — and if not, why.
Schedule: Monthly, on the 1st by default. Change it in .
Run manually:
Task Manager
Scans your CRM, Clients, Invoices, Biz Dev and Calendar daily and builds one action list. It arrives inside your Daily Briefing as a card per kind of task; if the briefing is off, it comes as its own email in the same layout.
| Task Type | What Triggers It | Configurable? |
|---|---|---|
| Renewal Due | An active client’s contracted hours are nearly used up | Toggle on/off |
| Ghosting Clients | An active client you haven’t heard from (no email, message or meeting) since you last reached out, for longer than the Quiet client threshold (default 90 days), with nothing booked. The same rule sets the Ghosting flag on the Clients tab and the Dashboard count, so all three agree. | Yes — set days (shared with Thresholds › Quiet client) |
| Re-Engage Clients | An active client with no sessions logged in the last 30 days and nothing booked. Someone already listed as Ghosting isn’t listed twice. | Toggle on/off |
| Overdue Invoices | Sent, unpaid and past your payment terms | Yes — set days |
| Set Goals | A client started in the last two weeks with no goals in their notes doc | Off unless turned on |
| Stale Pipeline Deals | Open deals not updated recently (default: 14 days) | Yes — set days |
| Won — Not Yet a Client | A deal closed a couple of weeks ago with no row on the Clients tab | With pipeline tasks |
| Meeting Notes | Today’s meetings, as a reminder to add notes. Left out of the Daily Briefing, where every meeting card already has Add a note. | Toggle on/off |
| LinkedIn Merge Reminder | Too long since your last LinkedIn import (default: 30 days) | Yes — set days |
Already booked? Not on the list. Anyone you have a meeting with in the next 60 days — matched on any of their email addresses — is left off Ghosting and Re-Engage. There’s nothing to chase when the next session is already on the calendar.
Where your tasks arrive: always in your Daily Briefing — one morning email instead of two. On a day with tasks but no meetings, the briefing still goes out with just your tasks. If the briefing is turned off, the list arrives as its own email at the Task Manager’s time. Choose which task types run at .
Schedule: Daily, at your finishing hour. Change it in .
Run manually:
Weekly Client Recap New
Once a week, Water LLM reads the past seven days of email with each of your active and onboarding clients and writes a short summary into their Google Doc Notes. Not into an email you’ll lose — into the document you already open before a session.
What it writes about:
- What was actually discussed, in a few lines
- Anything that was agreed, and anything left hanging
- Who owes the next move
What it doesn’t do:
- It never rewrites anything. Entries are appended. Your own notes are untouched.
- It stays quiet when there is nothing to say. A week of “thanks!” and calendar invites produces no entry rather than a paragraph of filler.
- It never creates CRM rows. If someone has no CRM record, they are reported to you, not silently added.
The same weekly pass looks at your pipeline. A deal that moved gets an entry saying what changed and who owes the next move — even if there was no email that week, because a stage change is a fact worth recording. It is also the only thing that notices a deal moving backwards: the sheet can’t tell you that, because stage dates clear forward, so the recap compares against last week instead.
A won deal keeps being recapped for about four weeks afterwards — the stretch where the deal is done but the work hasn’t started — and stops as soon as a row exists for them on ๐ Clients.
When an engagement has a Sponsor Email Address — someone at the client’s company paying for or overseeing the work — they get a recap of their own, in their own document.
It is built solely from correspondence between you and that sponsor. Nothing about the sessions themselves can reach it, because the sessions were never in those emails. That isn’t a filter that could be misconfigured — it falls out of scanning per person.
Schedule: Weekly, Saturdays by default.
Run manually:
Summaries of your email with clients are stored in Google Docs in your own Drive, and email excerpts are sent to Gemini to produce them. If that isn’t appropriate for your practice, switch the job off in — it is on by default. See Data & Privacy.
Client Hours Update
Once a month Water LLM drafts an email to each Active or Onboarding client saying how many hours they have left — in words (“7 hours and 45 minutes”, not 7.75) — and when their next session is. Any line that doesn’t apply to a client simply drops out: hours used in the last 30 days, when their hours run out at that pace, when the engagement ends, a renewal nudge when hours run low, and their next session. Delete the lines you don’t want.
Sponsors get one roll-up. If a client’s engagement is paid for by someone at their company, add them in the Sponsor Name and Sponsor Email Address columns on ๐ Clients. Each sponsor gets one monthly draft covering everyone they sponsor: hours used, total, left, last and next session, plus a total. Nothing from your sessions is ever included. Referrals — people outside the company who sent you the work — are never emailed by this job.
Set it up: — write the email once (any column on your Clients tab can be a placeholder), word the renewal nudge, preview it against a real client, choose which statuses it covers, and press Save & Draft Now to try it. Then turn it on in — it ships off. Drafts only; nothing is ever sent.
Client Wrap-up
When you mark a client Finished, Water LLM can draft a thank-you email a few days later — 7 by default — with a testimonial ask and a referral ask, in your words. Each finish gets one draft, and a line in the client’s notes doc.
You can also have it draft a note to the client’s sponsor and to the person who referred them. These are two separate switches, both off by default, and each has its own subject and body. A draft only goes to someone whose email is on the client’s ๐ Clients row.
Set it up: — the number of days, what you’d like them to say about working with you, who the right referral is, an optional testimonial link, and the email itself, with a Preview of every draft. Then turn the job on in — it ships off.
Nothing is ever sent. The drafts wait in Gmail; delete any you don’t want. Water LLM records the date a client became Finished in the Finished On column, and clears it if you change their status again.
Meeting Follow-Ups
The one job that runs every hour rather than overnight. It looks for meetings that have just ended and whose title matches one of your keywords, then drafts the follow-up email and adds a Follow Up task.
Set it up:
— add the keywords that mean “this one deserves a follow-up”, for
example Discovery, Intro, Proposal, Kickoff.
It ships with none, which means it checks hourly and does nothing — deliberately, because the alternative is a draft after every meeting in your calendar including your dentist. Add three or four words for the meetings that genuinely need a follow-up and leave the rest alone.
This job runs every hour whether or not there was anything to do, so a recent timestamp means “it looked”, not “it wrote something”. Check the Notes column for what it actually found.
Email Workflow Builder Beta
Where the three outreach slots each send one email, a workflow chains several together with rules between them: send this, wait five days, and if they haven’t replied send the next one — if they have, stop.
- Multi-step sequences with a wait between each step
- Reply detection — a response ends the sequence, which is the point
- Stage advancement — a workflow can move a deal along your pipeline as it progresses
- Still drafts — every message waits in your Gmail drafts for you to approve. A sequence does not become a send-bot because it has several steps.
Build one: . The engine that runs them ships switched off until you have built at least one.
Booking Page Beta
The booking page is being tested and is switched off for now, so it does not appear in the Configure Hub. This section describes how it will work.
A public scheduling page you can put in an email signature or on your website. Someone picks a session type and a time from your real availability; the event lands on your calendar and the booking is recorded on the ๐ Bookings tab.
- Session types you define — name, length, buffers, location, and your own intake questions
- Availability from your actual calendar, so it can’t offer a slot you are already in
- Anything that fails is written to ๐ Bookings (Errors) rather than lost
Water LLM is deliberately quiet here. If someone is getting a calendar invite, they should just be getting a calendar invite.
| Who | Gets | Can you turn it off? |
|---|---|---|
| The person who booked | The calendar invitation — sent by Google Calendar, because Water LLM added them as a guest on the event. The same invitation Google sends whenever anyone is added to a meeting. | No — it is the booking |
| You | An email every time someone books, reschedules or cancels, with their answers and what happened to your CRM. | No. A public link you are not told about is not a feature. |
| The person who booked | A reminder about 24 hours before. | Yes — off by default, per session type |
| The person who booked | A separate confirmation email in your own wording. | Yes — off by default, per session type |
It would be tidier to set a reminder on their calendar entry and send nothing. Google doesn’t allow it: calendar reminders are private to each person, and there is no way to set one on somebody else’s copy of an event. So a nudge is an email or it is nothing — which is why it is off until you decide you want it.
Every invite carries a Reschedule and a Cancel link in the event description — not in an email that gets buried, but in the thing already sitting on their calendar three weeks later.
- Reschedule opens your booking page already knowing who they are. They pick a new time; they are never asked to retype anything.
- The same event moves. It isn’t cancelled and recreated, so their calendar entry shifts rather than disappearing, anything they added to it survives, and the Meet link keeps working.
- If they decline the invite instead of using the link, Water LLM notices within the hour, marks the booking cancelled and tells you. Your calendar event is left alone in case you want to chase.
Two toggles per session type, both on by default:
- Add them to my CRM — checks for an existing contact first, across all four email columns. Someone booking a second time appends to the person they already are. Booking twice never creates two rows.
- Create their notes doc and save their answers — their intake answers become the first entry in it, so the record of that person starts with what they said they wanted, before you have even met.
Your booking email says which happened, in its first line — “Added Priya Raman to your CRM ยท notes doc created”, or “Priya Raman was already in your CRM ยท note added to their notes doc”.
Set it up: .
Intake answers appear in the event description, so both of you open the same brief when the call starts. That also means additional invitees can read them. For a one-to-one call that is exactly what you want; if you ask something you would not want a third attendee to see, leave it off the intake form for now.
It has to be, for someone to use it without a Google account. It shows only your session types and your free slots — never your event titles, your guests, or anything from your CRM.
Newsletter / Subscription Digest
Collects newsletter and subscription emails from the last 24 hours, summarizes each one with AI, groups them by topic, and sends you a single daily digest — instead of dozens of individual emails in your inbox.
How it works:
- Searches your Gmail Subscriptions label for emails from the last 24 hours
- Groups emails from the same sender
- Summarizes each group (content-focused — facts and numbers, not meta descriptions)
- Clusters summaries into topic buckets (AI & Tech, Business, Health, etc.)
- Sends you one consolidated HTML email with colored section headers
The Subscriptions Gmail label was created during onboarding.
Set up Gmail filters to automatically apply this label to newsletters — or
drag emails onto it manually. Only labeled emails are included in the digest.
Schedule: Daily, once you have chosen a Gmail label — it ships off until then. Change it in .
Run manually:
Birthday Drip
Drafts personalized birthday emails for contacts with upcoming birthdays — as Gmail drafts, not sent automatically. You review and send.
Water LLM scans the CRM Birthday field daily and creates a Gmail draft N days before each birthday (default: 3 days). Configure the days-ahead value and toggle this feature in .
Schedule: Off by default, because it creates Gmail drafts. Switch it on in when you want them.
Gmail allows 50 drafts/day on personal Gmail, 1,500/day on Google Workspace. If many contacts share the same birthday week, Water LLM will notify you when approaching the limit rather than silently skipping contacts.
Voice & Writing Style Guide
Your Style Guide is a Google Doc in your Drive that tells the AI how you sound. When any AI feature generates content — outreach emails, meeting prep briefs, daily briefings — it reads your Style Guide first so the output sounds like you, not like generic AI text.
To set up or open it:
| Section | What to Write |
|---|---|
| About My Business | What you do, who you serve, your value proposition |
| Sounds Like Me | Phrases, sentence structures, or examples that match your voice |
| Doesn't Sound Like Me | Language or tone you want to avoid (e.g., "corporate speak", exclamation marks, AI-isms like "I hope this email finds you well") |
| Additional AI Context | Anything else the AI should know when writing for you — your typical clients, industry context, things you care about |
Vague instructions ("be friendly") produce generic results. Specific examples ("I usually open with a reference to something specific we talked about") produce emails that feel personal. Paste in 2–3 real email examples you've written as reference for the "Sounds Like Me" section.
Automation Troubleshooting
| Problem | What to Check |
|---|---|
| A job isn't running on its schedule |
|
| AI output was cut off or incomplete | Each feature has a maximum output length (token limit). Very full schedules or large CRMs can hit this limit. It's a Gemini model constraint — not a Water LLM bug. The output contains everything up to the limit. |
| Outreach drafted emails for the wrong contacts | Check the date range configured for that pipeline. Also run Communication Refresh first — if Last Contact From Them dates are stale, contacts may appear in the wrong segment. |
| Rate limit error in โ๏ธStatus | The job retries on its next scheduled run. If it keeps happening, move some jobs to different hours in so fewer share a slot. |
| Trigger got deleted (jobs stopped running entirely) | Go to to reinstall the timed trigger. |
