For coaches

What’s the best CRM for a coaching practice?

The short answer

One that tracks sessions, hours and goals rather than a sales pipeline — and tells you which clients have gone quiet before the relationship cools. Water LLM does that inside Google Sheets, working out hours from your Google Calendar and conversations from Gmail, then putting the day’s sessions and nudges into one morning email.

Launching soon on the Google Workspace Marketplace. $30/month, or $300/year — one plan, every feature.

What a coaching practice actually needs to track

Most CRMs are built around deals moving through stages. A practice runs on packages of hours, session notes and a feel for who is engaged — so that is what Water LLM tracks.

Hours used, from your calendar

Each engagement records the hours a client bought. Water LLM counts the sessions on your Google Calendar and keeps hours used, hours left and the last 30 days current — no timesheets.

The Client Tracker →

The renewal conversation, on time

When a client is down to their last few hours you get a Renewal Due task, while there is still time to talk about what comes next instead of after the last session.

Task Manager →

Clients who have gone quiet

If you reached out and heard nothing back, with no session booked, the client is flagged Ghosting. Anyone already on your calendar is left off the list — there’s nothing to chase.

Every client flag →

Goals and notes before every session

Goals sit at the top of each client’s notes doc and appear on their meeting card in your Daily Briefing, with a dated summary of last time.

Client goals →

A weekly recap you didn’t write

Once a week Water LLM reads your emails with each active client and appends a short summary to their notes doc: what was discussed, what was agreed, who owes the next move.

Weekly Client Recap →

Invoices without another app

Invoices are made from your own Google Doc template, saved as PDFs in your Drive and left as Gmail drafts — with reminder drafts when one goes overdue.

Invoicing →

Your morning, in one email

At 7:00 AM Water LLM sends you the day: who you’re seeing, what they’re working towards, what you talked about last time — and which clients need something from you.

  • A card per session, with a Join button for Zoom, Meet, Teams or Webex
  • Each client’s hours, goal and a dated “last time” summary
  • Renewals and quiet clients, with one-tap Add a note and Open in CRM
  • Large group sessions noted, without a wall of per-person detail

What it doesn’t do

  • It isn’t for protected health information. Water LLM is not HIPAA-covered and Saville Coaching does not sign BAAs.
  • It doesn’t take payments. It makes and tracks invoices; your clients pay you the way they do now.
  • It doesn’t see WhatsApp or text messages. Email, Calendar and LinkedIn messages only.
  • It doesn’t send anything on its own. Every email it writes waits in Gmail drafts for you.

Questions coaches ask

Is Water LLM a good fit for therapists or counsellors?

Not if your notes are protected health information. Water LLM is not HIPAA-covered and is not for PHI, and Saville Coaching does not sign Business Associate Agreements. It is built for coaching, consulting and advisory work.

How does it know how many hours a client has used?

From your Google Calendar. Each client row has a start date, an optional end date and the hours they bought; Water LLM adds up the meetings with them that count as sessions and works out hours left. How the Client Tracker counts sessions.

Where do my session notes go?

Each client gets a Google Doc in your Drive for notes, with their goals pinned at the top. Water LLM appends a weekly recap of your emails with them to that doc; it never rewrites what you wrote.

Does it track WhatsApp, text messages or Zoom chat?

No. Water LLM tracks email (Gmail), meetings (Google Calendar) and LinkedIn messages from your LinkedIn export. A conversation that only happened on WhatsApp or by text won’t move someone’s Last Contact date — add a note, or log a meeting, when that matters.

Will it ever email my clients without me?

No. Outreach, follow-ups, invoice reminders and birthday notes are created as Gmail drafts. You read them, change them if you want, and send them yourself.

Where does my data live?

Your CRM is a spreadsheet in your own Google Drive, and the add-on runs under your own Google account. Water LLM’s servers hold your subscription record — your email address and billing status — not your contacts, emails or notes. For the AI features: Prompts and AI responses are never used to train, fine-tune or improve any AI model — a contractual commitment covering all Vertex AI customers. All processing happens inside Google Cloud; no third-party AI provider is involved, and Water LLM retains no copy. Google may briefly retain request data for abuse monitoring under its standard Vertex AI terms; that data is not used for training and Saville Coaching cannot access it. The full list is on Security.

How much does it cost?

One plan with every feature: $30 a month, or $300 a year ($25 a month). No per-seat pricing and no feature tiers. Water LLM is launching soon — join the waitlist and we’ll email you when it’s on the Google Workspace Marketplace.
